You can send WhatsApp appointment reminders in three ways. You can type them by hand from the WhatsApp Business app. You can connect the WhatsApp Business API through a provider like Twilio. Or you can use a booking tool that sends them for you after every booking.

The third way is the easiest. [NeetoCal](https://www.neeto.com/neetocal) is a free scheduling tool that sends booking confirmations, changes and reminders on WhatsApp. You don't need a WhatsApp Business account, Meta approval or message templates. Every workspace gets 100 free WhatsApp messages a month.

This guide covers all three ways, when to send reminders, and message examples you can copy.

## Why send appointment reminders on WhatsApp?

Most no-shows aren't rude. People just forget. A reminder fixes that, and WhatsApp is where many clients actually see it.

- **Clients already use it.** In India, Brazil, Spain, Mexico and much of Europe and the Middle East, WhatsApp is the main way people message. An email can sit unread. A WhatsApp message usually gets read the same day.
- **It costs less than SMS in many countries.** International SMS can be expensive. WhatsApp messages are often cheaper, especially for clients abroad.
- **It looks trustworthy.** Messages come from a business, not an unknown number.

## Method 1: Send reminders by hand from the WhatsApp Business app

The free WhatsApp Business app works for a very small practice.

1. Install WhatsApp Business on your phone and set up your business profile.
2. Create a **quick reply** with your reminder text, for example "/remind".
3. Each morning, check your calendar and send the reminder to every client booked that day.

**Good for:** 2 or 3 appointments a day.

**The catch:** the app doesn't know your calendar, so it can't send reminders for you. You have to remember to send every message, which is the same problem you're trying to fix. It also gets hard once you have a team.

## Method 2: Use the WhatsApp Business API

To send reminders automatically, businesses usually connect the WhatsApp Business API, through a provider like Twilio, Wati or Gallabox. Then they connect it to their calendar with a tool like Zapier.

Here is what that takes:

1. A verified Meta Business account and a phone number that isn't already on WhatsApp.
2. Message templates. WhatsApp only lets businesses start a conversation with a pre-approved template. You write each reminder and wait for Meta to approve it.
3. Consent. You must collect each client's agreement to get WhatsApp messages from you.
4. Paying for each message. Meta charges per template message, and the price depends on the client's country. Your provider may also charge a monthly fee.
5. Connecting it all. You need a Zapier or Pabbly workflow to send the right message when a booking is made, moved or cancelled.

**Good for:** larger businesses that also want WhatsApp for marketing and support.

**The catch:** setup can take days, and you have to look after the workflow. Calendly, for example, doesn't send WhatsApp messages itself. It points users to a third-party integration called Callendar.

## Method 3: Use a scheduling tool that sends WhatsApp messages for you

NeetoCal sends WhatsApp messages from its own approved business account, on your behalf. You skip the Meta paperwork and the templates.

1. [Sign up for NeetoCal for free](https://www.neeto.com/neetocal) and create a scheduling link.
2. In the **Admin panel** , under **WhatsApp** , open **WhatsApp notifications for client** and tick the updates you want. Start with **Meeting reminder**.
3. Open **WhatsApp reminders for client** and add your reminder times, for example 1 day and 1 hour before.
4. On your scheduling link, add a **Phone number** question to the booking form and turn on **Send WhatsApp updates**.

Clients now see a consent box under the phone field when they book. If they tick it, they get your reminders on WhatsApp. If they don't, they still get email.

Clients can get a WhatsApp message when a meeting is:

- Booked
- Rescheduled
- Cancelled
- Coming up (a reminder)
- Awaiting your approval
- Rejected

Hosts can turn on WhatsApp updates for their own bookings too, so you know the moment a client books, moves or cancels.

**What it costs:** every workspace gets 100 free WhatsApp messages a month. If you need more, prepaid packs start at $10 for 500 messages. They never expire, and you only pay for messages that are delivered. See [NeetoCal pricing](https://www.neeto.com/neetocal/pricing) for details.

The rest of NeetoCal is free too, including [SMS reminders](https://www.neeto.com/neetocal/features/sms-reminders), email reminders, payments and unlimited booking pages. Read more about [WhatsApp reminders in NeetoCal](https://www.neeto.com/neetocal/features/whatsapp-reminders).

## Which method should you choose?

- **A few appointments a week:** send them by hand from the WhatsApp Business app.
- **You already use the WhatsApp Business API for sales or support:** connect your booking tool to it.
- **You want reminders to just work:** use a scheduling tool like NeetoCal that sends them for you.

## When to send a WhatsApp appointment reminder

- **1 day before:** gives the client time to reschedule if something came up, so you can fill the slot.
- **1 to 2 hours before:** a short nudge on the day.
- **Right after booking:** a confirmation with the date, time and place.

One or two reminders is enough. More than that starts to feel like spam, and with WhatsApp, clients can block or report you.

## WhatsApp appointment reminder examples

If you send reminders by hand, you can copy and edit these.

**A day before:**

> Hi Maria, a reminder of your haircut with Sam tomorrow, Thursday, at 3:00 PM. Can't make it? Reply here and we'll find a new time.

**On the day:**

> Hi David, your consultation with Dr. Jennifer starts at 11:00 AM today. Here's the video link: [link]. See you soon.

**For an in-person visit:**

> Hi Aisha, see you at 5:30 PM today for your massage at 12 Park Street. Please arrive 5 minutes early.

**For a class or lesson:**

> Hi Tom, your guitar lesson is tomorrow at 6:00 PM. Don't forget your notebook.

A good reminder has the client's name, what the appointment is, the date and time, the place or link, and an easy way to reschedule.

In NeetoCal, the WhatsApp message text is fixed, because WhatsApp approves every business template in advance. NeetoCal fills in the meeting name, time and host, and you can click **Preview** to see exactly what clients get. For more message ideas for email and SMS, see our [appointment reminder templates](https://www.neeto.com/neetocal/blog/appointment-reminder-templates).

## WhatsApp rules to know

- **Get consent first.** WhatsApp only allows business messages to people who agreed to get them. Don't add clients to a broadcast list without asking.
- **Use the country code.** Phone numbers must be in international format, like +91 98765 43210 or +1 555 123 4567.
- **Keep it about the appointment.** A reminder is a service message. Mixing in promotions can get your number reported.

## Frequently asked questions

### Can WhatsApp send appointment reminders automatically?

Not on its own. The WhatsApp and WhatsApp Business apps don't know about your bookings. To send reminders automatically, use the WhatsApp Business API or a booking tool that sends them for you, like NeetoCal.

### Do I need a WhatsApp Business account to send appointment reminders?

If you set up the WhatsApp Business API yourself, yes. With NeetoCal, no. NeetoCal sends the messages from its own approved account, on behalf of your workspace.

### How much do WhatsApp appointment reminders cost?

With the WhatsApp Business API, Meta charges per message based on the client's country, and providers often add a monthly fee. With NeetoCal, the first 100 messages each month are free, and prepaid packs start at $10 for 500 messages.

### Does Calendly send WhatsApp reminders?

Not by itself. Calendly sends email and text reminders, and WhatsApp needs a third-party integration like Callendar or a Zapier workflow. If you want WhatsApp reminders built in, see the [best Calendly alternatives](https://www.neeto.com/neetocal/blog/calendly-alternatives).

### What if a client doesn't use WhatsApp?

They can leave the WhatsApp consent box unticked when they book. They still get email reminders, and you can add SMS reminders too.
